General Secretary

– Attend and record minutes at general and annual meetings.
Minutes of the previous meeting/AGM will be emailed to the committee in preparation for an upcoming meeting so that the reading of the minutes at the meeting can be dispensed with.
– Maintain a master file (hard copy and digital) of all minutes.
– Send correspondence as directed by the Executive.
– Receive and distribute correspondence as applicable.
– Be familiar with SMFA and TRMFA regulations.
– As per SMFA’s “Guides and Order Forms” web page, prepare and submit the following items/forms:
— Festival Date Choice – done two years in advance
— Adjudicator Time-Frame Requirement
— Keep a running list of “do no return” adjudicators – this has to be resubmitted yearly
— Request that, if possible, adjudicators be somewhat local in order to save on travel and accommodation expenses
— People-Stats Form
— Get data from Entry Secretary, Volunteer Coordinator, Program Secretary (number of programs printed), and Scholarships Chairperson
— Remember to take a head count at the Awards Concert (including an online count if any programing was done online
during festival)
— Supply Order Form
— Order certificates as requested by Scholarships & Awards Chairperson
— Order two syllabi when new syllabus comes out (every third year)
— Competitor marks – use the marking sheets that the Adjudicator Secretary fills out. Try to get your hands on these sheets as soon as each discipline is completed.
— A copy of the AGM minutes.
— A digital copy (draft and final) of the program
— Annual update of TRMF information on SMFA’s district festival webpage.
