IT works together with entry secretary. In fall, ES (entry secretary) will send you a festival update with dates, etc and you will forward it to all the teachers that sent entries to your last festival.
You need to familiarize yourself with Music Festival Suite as this is what is used for all our festival entries. MFS will have all the classes entered from the provincial syllabus. You need to enter the local district classes. You will receive this list from ES.
Beginning of January entries open so you need to have everything up and running so teachers and parents can enter their students. Till entry deadline you will be answering questions from those trying to enter and problem solving.
Day after entry deadline, close entries. I think you will download the file and print off all the classes. The festival committee will take these pages and cut and tape them into the order they wish. They will return these cut pages to you, and you will enter them in the new order. Then send it to ES for them to check for obvious errors. After it has been checked you will send it to the participating teachers, with a note of instructions from ES. You will also send it to the adjudicators.
After you have made the corrections they have found, put it into a word file (I think that’s the right one) and send it to ES. It needs to be in a file that ES can make changes to. They will make it all uniform then send it to the program secretary.
You will make a list of participating teachers, dividing them into disciplines, then listing them alphabetically by last name, with their location in brackets after their name.
Once the program secretary has it all finished you will email a copy to each of the teachers and ask them to send it to their students.
You will compile a list of teachers with each of their students. The ES needs this.
You are now done with the actual program. Next is printing off the adjudication papers for each entry. Do this on 8.5 x 11 paper. Include a marks ledger on the bottom corner.
You also need to print off a marks sheet for the ES to use to keep track of each entrants marks.
