Scholarships and Awards Coordinator

General
Shall consist of a chairperson and a minimum of one other person.
Shall attend and prepare reports (including recommendations) for general meetings and AGM.

Maintain a list of:
scholarships and awards, including Provincial and Canada West recommendations award winners
contact info for trophy recipients, specifically rose bowl winners (for photo purposes)
Maintain a description of awards/how they are to be distributed.

Before Festival
Send an up-to-date scholarship/awards list to
Webmaster (must be posted on website by October 1).
Program Secretary for inclusion in the program and to the General Secretary for inclusion in the
Adjudicator Briefing package.
Certificates person

Confirm the printing of the Marks sheets. (1 st place marks are recorded in red ink. 2 nd place marks in
green ink. All other competitors are given a letter grade in blue or black ink.) Blank copy is given to the
Adjudicator’s Secretaries. Copies of the filled Marks sheets are given to the adjudicators, scholarship
meeting attendees, and secretary (to be sent to Provincial office).

Schedule who will attend scholarship meetings.
Before going into a scholarship meeting, attendees should have reviewed marks sheets. Take note of
any anomalies. For top performers, take note of how many classes they entered, their average overall
mark, if they had ensemble entries.
The adjudicator will also fill out a list of suggested Awards Concert performers at this meeting.
Adjudicator will also be given their payment immediately following this meeting.

Contact Listowell Trophies one month ahead to engrave name plates. Take plates to Listowel (or use our
list of plate sizes to order the plates needed) to have them engraved after all awards have been decided
(Friday). This can also be done via email. Pick up available plates on Friday. Since Listowell no longer
engraves on Saturday, pick up Senior piano plates the following week, to be added when possible.

Check to see if any repairs are needed on the trophies.
Purchase keeper trophy for Outstanding Junior Performer award.
Keep a few medals on hand in case extra awards (honorable mentions) are requested by the
adjudicator.

Contact Quinn and Kim’s Flowers to confirm their donation of roses for rose bowls – 12 yellow roses per
bowl. Call Browns on Thursday or Friday evening of festival week to verify the number of rose bowls
being awarded and to make arrangements for delivery.

Prepare certificates and prizes (dollar store) for Tiny Tots competitors. These are only for classes that
specifically say “Tiny Tots”.

During Festival
Certificates – 1 st place, 2 nd place, Ensemble, Scholarship
Ensure that certificates are at the churches on Set-up days.

Trophy display tables:
DCC – Set up on Sunday, the day prior to festival week. Currently we store our bins with the trophies,
certificates, and black tablecloths for display in the basement at DBC. Take down on Friday afternoon.

Awards Concert (DCC) – Sunday afternoon. Put name plates on trophies, set up trophy table, hand
trophies (with an assistant) to Presenter.

Award Recipient list, including Provincial/Canada West recommendations – once filled, make copies for
President
Phoning persons
Public Relations
Archives (2) – TRMF and SMFA

After Festival
Ensure the rose bowl winners/outstanding junior performer have their photos taken during awards
concert. Arrange with photographer to get copies to be delivered to winners.

Donor information and “Thank You” cards are to be included with the Scholarship certificates.
Coordinate this with treasurer. Paper clip certificates to Thank you cards.

Inform secretary of number of certificates to be ordered for next year.

Prepare report.
